Data Mapping–the Foundation of System Integration

Data mapping is the initial step in the data integration process in which data from a source is converted into a format that is compatible with the destination location. Data mapping software can reduce or eliminate the need for manual data entry, resulting in fewer errors and higher quality, more reliable data.

In electronic data interchange (EDI) processes, data mapping properly converts a user’s application data into an EDI file format, and vice versa. Mapping outbound data involves establishing what information from the business or accounting software goes where in an EDI file. The data must be properly arranged and formatted so that it conforms to both the EDI standards and the trading partner’s requirements. Some data integration software products enable users to map EDI data and then save that map as a template to reuse. Multiple data maps can be created for particular EDI transactions and for each trading partner.

Inbound data must also be converted to a format that is compatible with the business or accounting system at the receiving end. EDI software can often map inbound EDI data directly into a variety of destination types, including:

  • Applications
  • Readable documents
  • Specific layouts like fixed length or delimited records
  • XML
  • Database tables
